Hosts

  • Five hosts are needed in each of the four areas of D5870: Austin, Waco, Marble Falls and Yoakum. The hosts in each area will come up with an agenda for the visiting team of delegates.
  • Accommodations provided by Rotarian hosts will be clean and comfortable. Access to laundry facilities will be provided if needed. Most Rotarians in our District prefer that there is no smoking in their homes and may request that you smoke outside. Most public buildings are designated as smoke free zones.
  • Hosts will provide accommodation and most meals during the scheduled RFE visit. There may be some occasions when there will be a meal or lodging cost to the visiting RFE delegates.
  • Local travel costs will be normally borne by the RFE host families. Host families or other volunteer drivers may provide transportation, although there may be occasion for the D5580 RFE delegates to share in some of the group transportation costs.

Delegates

  • A completed personal information and data form with photograph on each inbound delegates sent to the host district to share with the hosts and organizing team.
  • Delegates are welcome to organize their own pre or post RFE travels to other areas of the USA and Canada, but this should not conflict with the visit schedule.
  • Related Costs of Exchange
    • Delegates will cover the cost of their transportation (flight) and rental cars.
    • Delegate will arrange for and absorb the cost of necessary travel insurance and medical insurance.
    • Delegates may be asked to pay for admission to special events and attractions.
    • Shopping and personal expenses are the responsibility of delegation members with no liability to the host district.
  • It is recommended that the delegates limit their luggage to two pieces (1 large and 1 small carry on).

Prior to Depature

Delegates and hosts will meet via Zoom to discuss cultural awareness and sensitivity, local customs, food, language, and clothing expectations.
